Scaling Sales Ops across Quilt’s portfolio

Quilt’s Sales Ops team needed to implement new quoting solutions across Rain Retail and POS Nation, two brands with different sales motions and maturity levels. Rain Retail required structure from the ground up. POS Nation needed to replace a rigid CPQ system that slowed agility. The goal: scale quoting operations while preserving each brand’s unique GTM motion.

One CPQ that adapts to every brand

Quilt chose DealHub CPQ to create a shared, scalable quoting foundation that adapts to each brand's needs. At Rain Retail, reps gained structure, speed, and control through guided selling and real-time approvals. At POS Nation, DealHub replaced Salesforce CPQ, speeding up product creation by 90% and freeing up admin capacity. With DealHub, Quilt standardized where it mattered and customized where it counted, supporting rapid growth without compromising flexibility.

Rain Retail’s quoting was manual and unstructured

As a fast-growing platform serving independent specialty retailers, Rain Retail had no formal CPQ process in place. Sales reps created quotes manually, tracked product information with picklists, and sought approvals via informal, ad-hoc conversations. This made it difficult to maintain consistency, validate pricing, or extract reliable data on products sold and discounting practices. With no central system, quote accuracy varied by rep, and the lack of approval workflows created risk for compliance and margin erosion. The absence of structured data made it nearly impossible to analyze trends or optimize sales performance at scale.

Launched a scalable quoting solution in 90 days

DealHub gave Rain Retail a scalable CPQ solution purpose-built for fast-growing teams. Guided selling replaced manual quoting, centralized product catalogs removed rep inconsistency, and approvals became automated and auditable. In 90 days, Rain Retail went from spreadsheets to structured, streamlined quoting with full visibility.

The aha moment was realizing, oh, we need a CPQ tool, and this will solve all of it… no more manual quotes and a real streamlined approval process.”

Salesforce CPQ was slow and resource-heavy

POS Nation relied on Salesforce CPQ within a legacy Salesforce Classic environment. The system had become bloated, difficult to manage, and heavily dependent on admin resources to make even small changes. Quote creation was slow, and product or pricing updates pulled technical teams away from more strategic initiatives. As the company began transitioning to Salesforce Lightning, Quilt saw an opportunity to replace Salesforce CPQ with a more agile, scalable solution, without disrupting the broader CRM migration. Success depended on finding a tool that Sales Ops could manage independently, with minimal lift from Salesforce admins or developers.

POS Nation implemented DealHub without IT in 30 days

Quilt chose DealHub for its flexibility, speed, and ease of use. With only light guidance from the DealHub Customer Success team, Sales Ops rebuilt the entire CPQ engine including playbooks, product catalogs, approvals, and pricing logic in just 30 days. No developers. No admin bottlenecks. The impact was immediate. Quote time dropped from 45 minutes to 5. Product updates that once took hours now took minutes. The team gained full control of the quoting process and could iterate at speed, even while the broader Salesforce Lightning migration was still underway.

Reps used inconsistent, manual quoting

Before DealHub, sales reps at Rain Retail and POS Nation dealt with inconsistent and manual quoting processes. Rain Retail’s reps built quotes from scratch with unstructured picklists and no clear approval flow. At POS Nation, Salesforce CPQ required reps to enter product data manually and use unreliable checkboxes for approvals, often skipping crucial steps. These gaps made it hard for reps to quote accurately and frustrating for Sales Ops to enforce consistency or gather clean data.

Seamless quoting that just works for reps

With DealHub, quoting became intuitive and structured, without burdening reps. Guided selling ensures the right products and pricing are selected automatically. Approvals happen within the quote flow. Data is captured and synced without added rep effort.

They don’t think about the opportunity. They just quote. I get what I need.”

Only admins could update Salesforce CPQ logic

As Quilt grew, its Sales Ops team faced a compounding resource challenge: making ongoing updates and changes in Salesforce CPQ at POS Nation required advanced admin skills. Only certified admins could adjust pricing logic, product rules, or approval flows. This created a bottleneck, as CPQ management competed with more strategic Salesforce initiatives for the same technical talent. The team needed a quoting solution that would free up those Salesforce admins and enable more people to make changes without specialized expertise. The goal was clear, eliminate the admin dependency and empower Sales Ops to operate with speed and autonomy.

Sales Ops took full control of DealHub CPQ

With DealHub, Quilt no longer needed a Salesforce-certified admin to make changes. Sales Ops could now manage the full quoting lifecycle, from product setup to pricing rules to approval workflows, without writing code or relying on custom objects. New product configurations, pricing changes, or vertical-specific playbooks could be built and deployed by Sales Ops directly, often within the same day.

Quoting gaps made data inconsistent

With disconnected tools and limited CPQ functionality, Quilt struggled to maintain accurate, structured deal data across its portfolio. Rain Retail lacked data altogether, while POS Nation’s Salesforce CPQ required manual rep entry and had no embedded controls to enforce data capture. Reps frequently skipped key fields, entered inconsistent values, or relied on free text to describe deals, making it nearly impossible to generate reliable insights, track product performance, or calculate accurate forecasts. Even basic reporting on quote activity, discounting, or configuration trends proved difficult and time-consuming.

Guided quoting replaced workarounds and guesswork

By embedding mandatory fields and guided logic directly into the DealHub quote flow, Quilt ensured that deal-level intelligence was captured at the moment of configuration. Reps no longer needed to remember to fill out separate Salesforce fields with data like number of locations, product types, and pricing logic were all derived in real time and auto-synced back to CRM. This not only improved data quality and completeness, it eliminated rep resistance. Quilt now benefits from structured, consistent, and analytics-ready data, all collected passively during the quoting process.

We capture details like number of locations automatically with no manual entry and everything synced to Salesforce.”
